Cancellation & Refund Policy
Refund policy: All payments are non-refundable. No refunds or credits will be issued for cancellations, missed days, early departures, illness, injury, or personal circumstances.

Participants are strongly encouraged to purchase travel insurance that includes trip cancellation, interruption, and medical coverage.

Force Majeure: In the event of circumstances beyond the Retreat Leaders’ control — including but not limited to natural disasters, extreme weather, political unrest, public health emergencies, or government travel restrictions — the retreat may be rescheduled. Refunds are not guaranteed in these cases. Travel insurance is strongly recommended.

Travel Responsibilities

- Participants are responsible for booking their own flights and transportation.
- Arrival & Departure Requirements (Boat Access): Arrive in Puerto Vallarta no later than 4:00 PM on Sat, Jan 16
- Depart no earlier than 12:00 PM on Sat, Jan 23

These timing requirements ensure daylight boat travel, which is essential for safety.


Passports & Entry
- Participants are responsible for ensuring they meet Mexico’s entry requirements.
- Passports must be valid for the entire length of stay.


Travel Insurance (Not Required - Highly Recommended)

All participants are encouraged to carry travel insurance, including:
- Emergency medical coverage
- Medical evacuation
- Trip interruption/cancellation

Physical Readiness
By attending, you confirm that:
You are physically capable of participating in movement practices


You understand the property involves many stairs and uneven terrain


Medical Disclosure
Participants must inform the Retreat Leaders of any injuries, medical conditions, limitations, allergies, or special needs at least two weeks prior to arrival. However, you are ultimately responsible for caring for your body and honoring your limits.

Emergency Protocols
- Emergency contact information will be collected prior to arrival.
- Xinalani is accessible only by boat; emergency transportation can be arranged as needed.
- If you become ill during the retreat, notify the Retreat Leaders and retreat center staff immediately.

Rooms
- Rooms may be shared or private, as selected at registration.
- If you registered with a roommate, you will be placed together.
- If you selected a shared room without a roommate, we will assign one.


Meals
- Four buffet-style meals are served daily.
- Dietary preferences (e.g., gluten-free, lacto-ovo) are accommodated when possible.
- All allergies or intolerances must be communicated to the Retreat Leaders at least two weeks prior to arrival.

This retreat is rooted in community, care, and conscious presence.

By attending, you agree to uphold the following:
- Treat all teachers, staff, participants, the venue, and the local community with respect.
- Zero tolerance for discrimination, harassment, or hate speech.

Participants are asked to:

11. Maintain confidentiality within the group
12. Practice non-defensiveness
13. Take responsibility for your experience
14. Commit fully to your personal and collective journey


If support is needed, participants are encouraged to connect directly with Ava

Participation & Personal Boundaries:
- All activities are optional.
- Participants are never required to participate beyond their comfort level.
- Personal space, rest, and boundaries are fully respected.

- Phones must be silent and stored during sessions unless otherwise permitted.
- Participants may take photos or videos so long as they are not disruptive and respect others’ consent.
- By attending, you grant permission for photos/videos taken by Retreat Leaders to be used for promotional purposes.
- Participants may opt out of media use by notifying the Retreat Leaders in writing.

Photo Release:
I hereby grant permission to THE WORK by Ava, its representatives, employees, and assigns, to take photographs and/or video recordings of me during the March 2026 Mexico Yoga Retreat. I authorize THE WORK by Ava and its partnerships to use and publish the photographs and/or video recordings in any format or media, including online and in print, for the purpose of promoting and future events. I understand that the photographs and/or video recordings may be used for commercial purposes. I waive any right to inspect or approve the photographs and/or video recordings or the use of them in any media, including online and in print, before they are published or distributed. I release Ava Moreno and THE WORK by Ava and its representatives, employees, and assigns from any and all claims or demands arising out of the use of the photographs and/or video recordings, including any claims for defamation, invasion of privacy, or infringement of moral rights. I am over the age of 18 and have read and understand this release form. I am aware that by signing this release, I am giving up certain legal rights.

- Alcohol may not be brought onto the property.
- If alcohol is available through the venue, mindful consumption is expected.
- Illegal drugs are strictly prohibited.
- Participants are expected to respect local culture and follow leave-no-trace principles.

By attending, you:
-Assume all risks related to travel, movement practices, excursions, and retreat activities
-Release THE WORK by Ava, Ava and retreat staff from liability for injury, illness, loss, or damage
- Accept full responsibility for your participation and personal well-being

The Retreat Leaders reserve the right to:
- Modify the schedule, teachers, or activities
- Adjust accommodations if necessary
- Make reasonable changes due to unforeseen circumstances

Such changes do not guarantee refunds.

- This agreement is governed by the laws of California, United States.
- Any disputes will be resolved through binding arbitration, not court litigation.

I acknowledge that participating in the yoga retreat involves inherent risks and hazards, including but not limited to physical exertion, muscle soreness, falls, contact with other participants, equipment failure, acts of nature, and the risks associated with travel and activities such as surfing, hiking, aerial yoga, hot yoga, paddleboarding, boating, motorbiking, and water sports/activities. I understand that such risks cannot be eliminated, and I voluntarily assume all risks associated with my participation, both known and unknown, including any injury or damage resulting therefrom.

By registering for the retreat, you confirm that you:
- Have read and understood this agreement
- Accept all terms, policies, and conditions
- Agree to abide by the Code of Conduct
